Add many employees to a location at once by uploading a CSV file, instead of adding them one by one. To add a single employee, see Add an employee to the Directory. To download the directory, see View and manage employee details in Directory.
Before you start
- You need a role that can create employees, and your location must have room for the rows in your file.
- Select a location first. Import is not shown in the company view.
- Prepare a CSV file with no header row and one employee per line, in this column order: First Name, Last Name, Email, Mobile, Department, Designation, Employee ID.
- First Name, Last Name and Email are required. Each email address must be valid and unique. The other columns can be left empty.
- Always include the country code in mobile numbers, for example +447700900123.
Steps
- Sign in to the Vizmo portal, select your location and go to Directory > Employees.
- Click Import. The Import Employees panel opens.
- If you want a template, click Employees-Sample.csv to download it.
- Click the file box and choose your CSV file.
- Check the Preview table. It lists each employee's name, email, phone, department, designation and account status.

- If a banner says "There were errors while importing the CSV file.", click Show Errors. The Employees CSV File Error(s) list shows the Line No. and the Error for every row with a problem. Fix those rows, then upload the file again. You can't continue until every error is fixed. Click Clear to start over.
- Use the Account Status toggle above the preview to choose how the accounts are created:
- Off (the default): employees are added as Inactive.
- On: employees are added as Invited and each one receives an invitation email.
- Click Save.
- Go to Import/Export and stay on the Imports tab to follow the import.

After you save
A message confirms that the import job was created. The import then runs in the background. On the Imports tab, check the job's Progress and Status. If the job has errors, click View Errors in the Errors column to see the line number and reason, correct that row and import it again.
When the job finishes, open Directory > Employees and check the list before you assume every row was imported.
Things to know
- If a row's email already belongs to an employee at this location, that employee is updated with the values in the row. Empty cells are ignored, the email is not changed and no second employee is created.
- The Account Status toggle applies to these updated employees too. With it on, an employee whose login was disabled is switched back on, and an employee who has no login yet is invited. With it off, nobody's login access changes.
- A department or designation that doesn't exist yet is created from the name in your file. Names are matched without regard to upper or lower case.
- If an invited employee doesn't receive the invitation email, select them on Directory > Employees and click Resend Invite.
Troubleshooting
- "Invalid email" or "Invalid phone number" on a line. Correct that row. Enter phone numbers in full international format, starting with +.
- First Name or Last Name shows "Required". The first two columns cannot be empty.
- Every row shows an error. Check that the file has no header row and that the columns are in the same order as Employees-Sample.csv.
- "Cannot import more than N employees." The file has more employees than your location can have. Contact your Vizmo account manager.
- Import is greyed out with "Employee limit reached". Your location has already reached its employee limit. Contact your Vizmo account manager.
- "All errors in the CSV file must be corrected to move forward". Fix each line listed under Show Errors and upload the file again.
- Save is greyed out. No rows have been loaded yet, or the file is still being read.
