Use designations to record job titles and who each title reports to, then see the whole structure in the Organisation Tree. You can also set daily desk and room booking limits for everyone with a designation.
Before you start
- Select the location you want to manage.
- You need permission to view Designations to open Directory > Designations. To add or change a designation you also need permission to create or update it.
- Create the reporting designation first. For example, create "Director" before you create a "Manager" designation that reports to it.
Create or edit a designation
- Go to Directory > Designations.
- Click Add to create a designation, or click a row (or its Edit icon) to change one.

- Enter the Designation Name. This is required, and each name can be used only once.
- Under Reporting Designation, choose the designation that this one reports to. Type at least 3 letters to search. Leave the field empty if this designation does not report to anyone.
- Optional: under Total Booking Duration Allowed Per Day (in mins), enter a number of minutes for Desk Booking and for Room Booking. See Booking limits below.
- Click Save.
To give a designation to an employee, open the employee in Directory > Employees and choose it in the Designation field. See View and manage employee details in Directory.
Booking limits
The booking limit tells Vizmo how many minutes in total an employee can book per day. Vizmo uses the first limit it finds in this order:
- The employee's own limit, set on the employee's details.
- The designation limit.
- The department limit. See Set up department leaders, booking limits and desk zone priorities.
- The desk or room limit for the location.
- Leave a field empty to use the next limit in the list.
- Enter -1 for no limit for this designation.
Add the same reporting designation to several designations
- In Directory > Designations, tick the rows you want to change.

- Click Add Reporting Designation.
- Search for the designation they should report to, select it, then click Save.
- Check the message that shows how many designations were updated. If some failed, click Details to see which ones need attention.
If the designation you choose is also one of the ticked rows, that row is left as it was. A designation cannot report to itself.
View the Organisation Tree
- Go to Directory > Organisation Tree.
- Wait for the designations to load. Each bubble is a designation. An arrow points from a designation to the designations that report to it, so the most senior designation is on the left.

- Zoom in and drag the background to look at a different part of the tree.
The tree shows designations, not individual employees, and you cannot change it by dragging. To change a connection, go back to Directory > Designations, open the designation and change its Reporting Designation.
Note: The Organisation Tree menu item is not shown to receptionists or product administrators.
Troubleshooting
- You cannot see Add, Edit or Save. You need permission to create or update designations. Ask your company admin.
- "Designation already exists". Use a different name, or edit the existing designation.
- The reporting designation you want is not in the list. Check that you have selected the right location, and type at least 3 letters of its name.
- "No designations found". Create some designations for this location first.
- "Unable to load designations". Reload the page and check your connection.
- The tree shows an unexpected connection. The tree is drawn only from each designation's Reporting Designation. Open that designation and check the field.
