Create and manage zones

Create and manage zones

A zone is a named group of desks (and parking spaces) inside one location. Create zones to organise your floors and to decide which departments are offered which desks.

What a zone does

You attach a zone to one or more floors, then place desks and parking spaces on those floors into it. A zone has two settings:

  • Floors: the floors the zone covers. A desk or parking space can only be placed in a zone that includes its floor.
  • Departments (optional): the departments whose employees are offered the zone's desks and unassigned parking spaces.

Who is offered a desk

An employee is offered a desk if they match the desk's own department or designation, or they are in a department linked to the desk's zone. A desk is offered to everyone only if it has no restrictions of its own and its zone has no departments, or it has no zone.

Desk's own department or designation Departments linked to the zone Who is offered the desk
None None, or no zone Everyone
None Sales, Finance Employees in Sales or Finance
Engineering Sales Employees in Engineering, and employees in Sales

Leaving a zone's departments empty never takes away the access that a desk has on its own. A parking space assigned to a specific person can always be used by that person.

Rooms do not have a zone. To limit a room to certain departments or designations, use the Department and Designation fields when you add or edit the room.

Before you start

  • Add the floors you need first. See Add a floor.
  • Your role must allow you to create zones. You see Zones, New Zone, Edit and Delete only if your role has the matching permission. If one is missing, ask a company admin to check your role.

Availability: if this option is greyed out or missing, contact your Vizmo account manager.

Create a zone

  1. Sign in to the Vizmo portal and select the location you want to manage.
  2. In the left menu, select Zones.
  3. Select New Zone.

  4. Enter a Zone Name of up to 50 characters.
  5. In Floors, select the floors the zone covers. You must select at least one floor.
  6. In Departments, select the departments that should be offered the zone's desks and parking spaces. Leave it empty if the zone should not restrict anyone.

  7. Select Create.

The message The new zone has been added successfully. appears and the new zone is listed in the Zones list. You can now choose it in the Zone field for desks and parking spaces on its floors. To put desks into the zone, see Assign a zone to a desk. For a parking space, choose the zone in the optional Zone field on the parking space form.

Edit or delete a zone

  • To change a zone, select the Edit icon on its row, change the details and select Save.
  • To remove a zone, select the Delete icon on its row and confirm in the Delete Zone box. To delete several zones, tick their rows and select Delete (n).

Things to know

  • If you remove a floor from a zone, the desks on that floor lose their zone. If a parking space still uses that zone on that floor, Vizmo does not let you remove the floor and shows A parking space uses this zone and floor mapping. Update the parking space before removing the floor.
  • If you delete a zone, the desks in it lose their zone. If a parking space still uses the zone, Vizmo does not let you delete it and shows A parking space uses this zone. Update the parking space before deleting the zone. Change the zone on those parking spaces first.

Troubleshooting

An employee cannot see or book a desk in a zone

Check the zone's departments and the employee's department. The desk is offered if the employee's department is linked to the zone, if the desk's own department or designation includes the employee, or if the desk has no restrictions of its own and its zone has no departments.

A message says a department is not valid for this zone

A zone can only use departments that belong to its own location. Choose a department from the selected location, then select Create again.
