Choose notification channels for a location

These switches decide which channels Vizmo can use at this location: SMS, Email, Push and WhatsApp. Turn one off and Vizmo stops sending visitor and host messages on that channel at this location. Some account and security messages follow separate rules.

Before you start

  • Your role must allow you to update settings.
  • Availability: if this option is greyed out or missing, contact your Vizmo account manager.
  • The switches apply to one location. Repeat the steps for each location.

Turn channels on or off

  1. Sign in to the Vizmo portal and select the location.
  2. Go to Location Settings > Notifications.

Notifications settings page with SMS, Email, Push, WhatsApp switches and Reply To

  3. Under Notification Settings, switch each channel on or off:
    • SMS: text messages to visitors and hosts.
    • Email: event emails to visitors and hosts. It does not control every account or security email.
    • Push: Vizmo Pass notifications, and Slack messages if you have connected Slack.
    • WhatsApp: WhatsApp messages. If a person has no WhatsApp number, Vizmo sends an SMS instead, as long as SMS is on.
  4. Optionally, choose an employee in Reply To. When someone replies to an email from this location, the reply goes to that employee. See Set a reply-to address for employee emails at a location.
  5. Click Save.

Result: you see "Settings saved successfully."

When a message is sent

Turning a channel on allows messages on it. It does not guarantee delivery, because each message also depends on the visitor type and on the person receiving it. For visitor-arrival messages, this is what must be on:

Message At this location In the visitor type For the person
Message to the visitor SMS or Email must be on. WhatsApp alone is not enough. Visitor Notifications The visit needs the visitor's phone number (SMS or WhatsApp) or email address (email). Employees' own channel settings don't apply.
Host email Email Host Notifications Email is on in their profile, and they have an email address.
Host SMS SMS Host Notifications SMS is on in their profile, and they have a phone number.
Host WhatsApp WhatsApp Host Notifications They have a phone number. Their own SMS, Email and Push settings don't apply.
Host Slack message Push Host Notifications Push is on in their profile, Slack is connected, and their Slack account is matched.
Host notification in Vizmo Pass Push Not needed Push is on in their profile, and notifications are allowed in the app.

You turn Visitor Notifications and Host Notifications on or off for each visitor type in Visitors > Settings > Visitor Types. See Manage an employee's notification settings for the settings in a person's profile.

Still not arriving?

  • Personal assistants: if the host has an assistant, host messages can go to the assistant. See Assign a personal assistant to an employee.
  • Approval and account messages: these follow their own rules. Host Notifications is not required for them.

If a channel is greyed out

That channel is not available for this location. If you try to save a channel that is not available, you see a message such as "SMS notifications feature is disabled". Contact your Vizmo account manager, or email support@vizmo.in, for help.

FAQ

Can I edit the text of SMS messages? No. Custom SMS text is not supported.

Why did a WhatsApp user get an SMS? WhatsApp falls back to SMS when the person has no WhatsApp number, or the WhatsApp message can't be delivered, as long as SMS is on for the location.
