Set up Tenants and give a tenant administrator access

Set up Tenants and give a tenant administrator access

Tenants let one location host several organisations, such as the companies that share a building. You add the tenants and link employees to them. You can also give one person at each tenant the Tenant Admin role, so they manage their own employees and visitors in a separate Tenant Admin Portal.

Before you start

  • Availability: if this option is greyed out or missing, contact your Vizmo account manager.
  • The number of tenants you can add across the company is limited.
  • Tenant Admin access is a separate allowance. It is counted per location, not per person.
  • Only a company administrator can switch on Tenant Admin Dashboard.
  • Your role must let you add tenants, edit employees and assign roles.

Step 1: Add tenants

  1. Select Tenants in the left menu, then select Add New Tenant.
  2. In the Adding New Tenant panel, enter the Tenant Name (1 to 100 characters). To add a logo, select Upload Logo.
  3. Select Save. Wait for Tenant added successfully.
  4. Repeat for each tenant.

Add at least one tenant before Step 2. Vizmo does not let you turn Tenants on until one exists.

To change a tenant, select its row. To remove one, use its delete icon, or select several rows and select Delete. You cannot delete a tenant that still has employees linked to it.

Step 2: Turn Tenants on

  1. Go to Location Settings > Location.
  2. In Product Settings, under Tenants, switch Enable on.
  3. Optionally enter a Default Tenant Name and choose a Tenant Logo. If you choose no logo, the location's logo is used.
  4. If tenant administrators will use their own portal, switch Tenant Admin Dashboard on. It stays greyed out until Enable is on.
  5. Select Save.

Step 3: Link employees to a tenant

  • Go to Directory > Employees, open an employee, choose the Tenant and save the change, or
  • select several employees, select Add Tenant, then choose the tenant. A message such as Tenant added to 3/3 selected employees successfully confirms the result.

The Tenant field and the Add Tenant button appear only while Tenants is switched on.

Step 4: Give a person tenant administrator access

  1. Make sure the employee is linked to a tenant (Step 3).
  2. Go to Directory > Roles and select Assign Role.
  3. Under Select Employee, choose the person. Under Select Role, choose Tenant Admin.
  4. Select Save.

What a tenant administrator can do

Tenant administrators sign in to the Tenant Admin Portal. It has these sections:

A tenant administrator only sees their own tenant's employees and visitors, and what they can do depends on their role. Someone who also uses the employee portal can switch between Tenant Admin Portal and Employee Portal from the profile menu.

Things to know

  • Tenants belong to one location, and each location has its own tenant list.
  • If Tenant Admin Dashboard is switched off, Tenant Admin can no longer be given to new people.

Troubleshooting

  • The Tenants entry is missing. Tenants is not available for your company. Contact support@vizmo.in.
  • You see Please add at least one tenant to enable Multi-Tenant functionality. Select Add Tenants in the message, or follow Step 1, then switch Enable on again.
  • The Tenant Admin Dashboard switch is greyed out. Switch Enable on first, sign in as a company administrator, and check that Tenant Admin Dashboard is available for your company.
  • You cannot choose Tenant Admin. Link the employee to a tenant first and check that Tenant Admin Dashboard is on. A message under Select Role explains why the role is unavailable. If it says No Tenant Admin Dashboard licenses are available, contact support@vizmo.in. If saving fails with Employee has no tenant, the employee is not linked to a tenant yet.
  • You see Company-wide tenant license limit reached. You have added as many tenants as are allowed for your company. Contact your Vizmo account manager.
  • You see Tenant feature is disabled. Tenants is not available for your company. Contact support@vizmo.in.
  • A tenant cannot be deleted. The message Employees are linked to tenant. Please remove tenant or delete employees first. means employees are still linked to it. Remove the tenant from those employees, or delete them, then try again.
