Import many desks into a floor in one go by uploading a CSV file. You can also assign a desk to an employee in the same file.
Before you start
- Your role must allow you to create desks. If you cannot see Import, ask a company admin to check your role.
- Desks must be turned on for your location, and you must have room under your desk limit.
- The floor must already exist. See Add a floor.
- If you assign desks to employees, desk booking must be turned on in the desk settings, and each employee must already be in this location.
Availability: if this option is greyed out or missing, contact your Vizmo account manager.
Import desks
- Sign in to the Vizmo portal and select the location.
- In the left menu, select Floors, then select the floor that the desks belong to. All the desks in the file are added to this floor.
- Open the Desks tab and select Import. The Import Desks panel opens.

- Select Desks-Sample.csv to download an example file. You can edit it, or make your own file in the same format. See the next section.
- Select the file area in the panel and choose your CSV file.
- Check the Desks List. If a warning bar says There were errors while importing the CSV file., select Show Errors. The Desk CSV File Error(s) box lists each line number and its problem. Fix the file, select Clear and upload it again.

- Select Save.
Vizmo shows The import job has been successfully created. This means the import has started. It does not mean every desk was added. To check the result, open Import/Export in the left menu and look at the Imports tab. If a row shows errors, select View Errors.
Prepare your CSV file
- Do not add a header row. The first line must be a desk, not column names.
- Put one desk on each line.
- Use five columns in this order: Desk Name, Description, Assign To, Start Time and End Time.
- Only Desk Name is required. It can be up to 50 characters, and each desk name must be different. A Description can be up to 300 characters.
- To assign a desk, enter the employee's email address in Assign To, and enter both times as hh:mm AM/PM, for example 09:00 AM and 05:00 PM. Leave all three empty for a desk that is not assigned.
Example:
"Desk 101","Window seat","alex.morgan@example.com","09:00 AM","05:00 PM"
"Desk 102","Near the exit","","",""
Things to know
- Imported desks are switched on, so they can be booked straight away. They have no zone. To add zones afterwards, see Assign a zone to a desk.
- When you assign a desk, Vizmo creates a permanent daily booking for that employee. It starts tomorrow and uses the start and end times from your file.
- To add a single desk instead, see Add a desk to a floor.
