Send a visitor invitation from the Vizmo Pass app so your guest can pre-register and check in faster. This article is for employees using Vizmo Pass.
Before you start
- Sign in to Vizmo Pass with your employee account and select the location on Home.
- Visitors and invitations must be turned on for that location.
- Have each guest's name and contact details (email or phone number) ready.
Availability: if this option is greyed out or missing, contact your Vizmo account manager.
Send the invitation
- On Home, tap +, then tap Invite a Visitor. If Visitors is the only product turned on for your location, you can also tap Send Invite on the Send an invitation to a visitor tile.

- On the Invite visitors screen, check the Title. It starts as "Meeting with" followed by your name, so change it to something your guest will recognise. To add more detail, tap + Add description (optional).

- Choose the Visitor Type. This decides which check-in flow and questions your guest will see.
- Tap Select Date-Time and choose when you expect your guest. The time must be in the future.
- Choose One Time for a single visit, or Repeat for a series. For a series, choose Daily, Weekly on (the weekday of your start date), Every weekday (Monday to Friday) or Custom, then set an End Date. For Custom, set Repeats Every and, if the pattern is weekly, select at least one weekday under Repeats on.
- Tap Add Attendees. The Invite a visitor screen opens with two tabs. Directory lists visitors already saved in Vizmo, and Contacts lists the contacts on your phone. To invite someone who is in neither list, tap + Add New and enter their details yourself. Tick each visitor you want to invite, then tap Done.
- On the Participants screen, tap Add Participants to add more people, then tap Next to return to the invitation.
- Check the attendees listed on the invitation. Tap the edit icon beside a name to complete or correct their details, or tap the cross to remove them. The fields you see depend on the visitor type.
- Tap Send Invite. This button appears once you have added at least one attendee.
- The Invite Details screen confirms Your invitation has been sent successfully and lists the invitation and its attendees. Tap Done to return to Home.

Things to know
- When the visitor type asks for a host, you are set as the host of invitations you send from the app. To invite a guest on behalf of a different host, use the portal: see Send an invite on behalf of another host.
- If you change the visitor type after adding attendees, the app asks you to confirm, because the change resets any extra details already entered for them.
- If your location uses an approval workflow, the invitation can wait for approval before your guest is notified.
- The success screen confirms that the invitation was created. It does not guarantee that every attendee has received their message.
- Your guest can then check in using the invitation. See Pre-register and check in with an invitation link.
- To send an invitation from a computer instead, see Send an invite.
Troubleshooting
- Invite a Visitor or Send Invite is missing: check that you have selected the right location on Home, then ask your administrator to confirm that Visitors and invitations are turned on for it.
- Send Invite is missing on the invitation: add at least one attendee, then tap Next on the Participants screen to return.
- Please select a visitor type or Please select a location: complete the missing choice and tap Send Invite again.
- Expected time can not be in the past: choose a later date and time. For a series, the end date must not be before the start date.
- Emails or phones of participants (including host) should be unique: each attendee needs their own email address and phone number. Do not add yourself as an attendee, because you are already the host.
- A blocked-visitor message appears: that person is on your blocklist. Remove them from the invitation, and ask your administrator to review the blocklist if you think this is a mistake.
- The guest did not receive the invitation: check their email address or phone number, and ask your administrator to check approval status and notification settings.
