View and track desk bookings

View and track desk bookings

See who has booked which desk, check the status of each booking and open a booking to see its details. You can do this from the Dashboard or from the Desk Bookings page in the Vizmo portal.

Before you start

  • Sign in to the Vizmo portal with a role that can see desk bookings, such as a company admin, a Location Admin or a Desks admin.
  • Desks must be turned on for your location. If they are not, the Booked Desks table does not appear on the Dashboard.

Availability: if this option is greyed out or missing, contact your Vizmo account manager.

View today's bookings on the Dashboard

  1. Choose a location, or stay in Company View to see all locations.
  2. Open the Dashboard and scroll to the Booked Desks table.

  3. Read the Employee, Desk Name, Floor, Booking Date, Booked From and Status columns. Booked From shows the booked time range, or Full Day.
  4. Select a row to open the booking. In Company View, the booking opens in the location it belongs to.

The Dashboard table always shows today's bookings, and you cannot change its date.

Look at other dates

  1. Go to Desks > Desk Bookings.
  2. Use the date list above the table to choose Today, Tomorrow, Next 7 Days, Past 7 Days or Custom.

To search the table or choose which columns you see, read Filter, search and customise the Desk Bookings table.

Open a booking

Select a row to open the booking. It has three tabs:

  • Details shows the booking.
  • Approvals shows approval information.
  • Activity shows the history of the booking.

Understand the Status column

The Status column shows three icons. Hover over each one to read its meaning.

  • Booking status: shows whether the booking is Confirmed or Cancelled.
  • Approval status: shows No Approvals Required, All Approvals Completed, or the approval that is still pending or was rejected.
  • Desk status: shows Occupied when the person has checked in, Unoccupied when they have not, and Checked-out after they check out. This changes only if desk check-in is turned on.

Booking types

  • One Time: a single booking for one date and time.
  • Repeats: a booking that repeats on the days and for the period you choose.
  • Permanent: a long-term booking that does not end.

Repeating and permanent bookings show a repeat icon next to the booking date.
